Line Item Management
Organize the lines by manually changing the line number in the # Column.
- Add or change a number in the # column to the desired position in the list.
- It will sort automatically once you click out of the line item fields.
# Column
This column is used to:
- Identify, reference, and organize the lines in sequence.
- You can add, insert, delete, and move a line,
by manually changing the number(s) in the # column.
Click the Print Preview button, where available, to see how the Lines are organized.
Cost Column
Enter the value for each line item.
For Credits, enter the value with a negative (-) amount.
The line items calculate and the accumulated amounts transfer to the totals.
Description Column
Enter the description only, line by line.
- One line of text at a time only.
Stop typing at the end of each line.
- Do not wrap text around with continuous typing.
- Do not use the Enter key to try to stretch the size of the field.
These will not print.
If longer descriptions are needed, use 2 (or more) lines.
When you approach the end of a line, stop typing, then click or skip (tab) to the next line to complete your description.

Add / Insert a line
Click the New Line button to create a blank new line.
- It will add the new line to the bottom of the list.
- Insert: Change the number in the # column to the desired position in the list.
Delete a line
Click the Delete Line button to remove unused lines.
- Click on the line to be removed
- Click the Delete Line button
Sort (Move a line)
The lines automatically sort by the # column:
- Lowest number first
- Letters are not sorted
- A blank (empty) entry in the # column will sort to the top of the list
- To organize the lines, manually change the number in the # column.
Grouping examples:
Group one item, up to 9 lines (single decimal place)

Group Subtotals (703)
If needed, consider using this format for groups to calculate & separate items.
- Click the Options button (yellow menu bar) to access this format (703 Subtotals).
- Select: Group Sub-totals
- Return to the Form
- Easily switch between options as / if necessary.
- You will not lose data switching layouts.
When Group Sub-Totals are active,
- There will be a Blue column on the 703 layout, located to the left of Column A
- Click on the 703 gray column title B for instructions and examples.
Group Example, How to create groups:
Enter the number 1 in the blue field for Each line item in the 1st group or phase.
Enter the number 2 in the blue field for Each line item in the 2nd group or phase.
(no number will auto sort to the top of the lines)
(re-organize the lines by changing the number in the blue field)
(it will automatically sort once you click outside the blue field)
NOTE: The Blue column does NOT print.
The lines sort automatically by #, lowest number first.
- Letters do not sort.
- A blank # field will automatically sort to the top of the list.
- Sorting takes place after clicking out of the line item fields.
Unit Pricing (703) (Unit Cost Format)
- Click the Options button (yellow menu bar)
(Select > Unit Cost Format > Return to form)
- Easily switch between options, as / if necessary.
- You will not lose data switching layouts.
How to enter the Data
703
- Data required in Column B (Unit Cost & Type)
- Data required in Column C (Quantity, Amount will auto calculate)
- Column D - 1st App, enter quantity only - 0
- Column E - Enter quantity only - Amount will auto calculate
- Quick Help - Click the Gray column titles (D & E)
- % calculations - click the yellow SET All button (top of the columns)

You must enter data in these columns for the program to:
- Auto calculate
- Combine & Transfer data between columns (Duplicate / Update #2)
703
- Line 1: You must enter an amount for the 702 to calculate other lines
- Data for the other lines automatically transfers from the 703
- 702 Line 3 should equal the same amount of the total of column C (703)
Notes
The list sorts automatically, but will only sort after you click out of all line item fields.
The list will automatically adjust for multiple pages.
The number of line items per page may vary with different printers.
Before printing, click the Print Preview button, where available, to see how the list is organized.
